Communicating with Tenants and Contractors
Each maintenance ticket has a built-in messaging thread that keeps all communication in one place.
Adding a Message
- Open the maintenance ticket.
- Scroll to the Messages section.
- Type your message in the text field.
- Optionally attach a photo or document.
- Click Send.
Who Sees Messages
Messages are visible to:
- The landlord (you and your team).
- The tenant who reported the issue.
- The assigned contractor.
You can choose to send a message to all parties or only to specific recipients using the Send To dropdown.
Notifications
When a new message is posted, recipients receive:
- An email notification with the message content.
- An in-app notification visible from the bell icon.
Scheduling Access
Use the messaging system to coordinate access for contractors:
- Ask the contractor for their available dates.
- Propose times to the tenant.
- Confirm the appointment in the thread.
This creates a documented record of the agreed access arrangement.
Best Practices
- Keep all communication within the ticket thread for a clear audit trail.
- Attach photos of completed work for the tenant to review.
- Notify the tenant when work is finished.
Tip: Using the ticket messaging system instead of personal texts or calls ensures everything is documented if disputes arise.
