Subscriber Terms
These terms govern your paid subscription to Latch. Please read them carefully alongside our general Terms of Use.

Key Pre-Contract Information
The points below summarise the most important features of a paid Latch subscription, in line with the Digital Markets, Competition and Consumers Act 2024. The full terms follow.
What you are signing up for — A Latch paid subscription (Pro, Enterprise, or Commercial) for cloud-based property management software.
Headline price —Pro £20/month or £192/year (£16/mo equivalent — 20% annual discount). Enterprise £40/month or £384/year. Commercial pricing is custom and agreed separately. Per-lease surcharge: £1 per lease per month above 8 leases (Pro) or 50 leases (Enterprise).
30-day free trial — Eligible new subscribers may select a 30-day free trial. We will not charge you during the trial. We will email you 7 days before the trial ends. If you do not cancel before the trial ends, your subscription will start automatically at the headline price.
Auto-renewal — Subscriptions automatically renew at the end of each billing period at the headline price. We will email you a reminder 7 days before the first full-price charge after a trial ends, and at least every 6 months thereafter.
Your right to cancel —You may cancel within 14 days of starting your subscription for any reason and receive a full refund. You may also cancel within 14 days after your free trial ends and receive a full refund of the first full-price charge. Outside these windows, you can still cancel any time — your access continues until the end of your current paid period and no further charge is taken.
How to cancel —Click “Cancel subscription” in your account settings (one click to the Stripe customer portal) or email [email protected]. Cancelling is no harder than signing up.
Total minimum cost if you do not cancel —Free trial path: £0 during the 30-day trial; then £20/mo Pro or £40/mo Enterprise from day 31. Annual: £192 (Pro) or £384 (Enterprise) charged upfront.
Existing customers — If you are already on a paid plan, the trial offer does not apply to you. Your current pricing continues unchanged.

1. Introduction
These Subscriber Terms (“Subscriber Terms”) supplement the general Terms of Use and constitute a legally binding agreement between you and USELATCH LTD (company number SC879051, registered in Scotland). By subscribing to a paid plan, you agree to these additional terms alongside the general Terms of Use. In the event of conflict between these Subscriber Terms and the general Terms of Use, these Subscriber Terms shall prevail in relation to subscription-specific matters.
2. Subscription Plans
The Services are offered under the following paid subscription tiers:
- Pro (£20 per month, or £192 per year):Includes AI assistant access, 8 leases included (additional leases at £1 per lease per month, up to 1,000), 1,000 documents, 100+ standard reports, priority support, up to 2 users per account, HMRC Making Tax Digital (MTD) integration for Income Tax Self Assessment, e-signature creation and management, builder marketplace access, tenant referencing (via Canopy integration), invoice generation and automated reminders, and WhatsApp messaging for rent reminders (where configured).
- Enterprise (£40 per month, or £384 per year):Includes all Pro features, plus custom and dynamic AI reports, multi-platform property advertising, AI compliance document generation, 50 leases included (additional leases at £1 per lease per month), unlimited documents, 500+ reports, up to 5 users per organisation, HMRC MTD integration with full submission history, property management portal with landlord client management, owner statement generation and fee tracking, and SmartFlow workflow automation.
- Commercial (custom pricing): Custom pricing for portfolios above the Enterprise threshold or with bespoke compliance requirements. Pricing, lease allowance, user seats, and bespoke add-ons are agreed in a separate order form. Where a separate order form has been signed, its terms prevail over these Subscriber Terms in case of conflict.
- Annual billing is available at a 20% discount on the monthly rate (Pro £192/year = effective £16/mo; Enterprise £384/year = effective £32/mo).
- All prices are quoted in British Pounds Sterling (GBP) and are exclusive of VAT, which shall be charged where applicable.
- Existing customers on legacy pricing are not migrated to new offers;their pricing remains as set out at the time of subscription unless we provide at least 30 days' notice of a change in accordance with section 10 below.
3. Lease Limits and Overages
- The Pro plan includes 8 active leases. Additional leases above 8 are charged at £1 per lease per month, up to a maximum of 1,000 leases.
- The Enterprise plan includes 50 active leases. Additional leases above 50 are charged at £1 per lease per month, up to a maximum of 1,000 leases.
- Overage charges are calculated based on your active lease count at the time of billing and added to your invoice via Stripe quantity-based billing.
- You can monitor your current lease count and associated charges from your account settings.
4. Free Trial
A consumer-friendly summary of the trial appears in the “Key Pre-Contract Information” panel at the top of this page. The clauses below set out the full terms.
- We may offer a 30-day free trial to eligible first-time users. Trial eligibility is limited to one trial per individual or organisation, and the eligibility flag is permanently recorded against your account record.
- During the trial you have access to the full functionality of the chosen paid plan at no charge.
- We will email you a reminder 7 days before your trial ends. If you do not cancel before the trial ends, your subscription will automatically convert to a paid plan, and your designated payment method will be charged at the headline price.
- We reserve the right to modify, suspend, or discontinue the free trial offer at any time. Existing trials in progress at the time of any such change will be honoured for the remainder of the trial period.
5. Payment Processing
- Subscription payments are processed by Stripe, Inc. on our behalf. Your use of Stripe is subject to Stripe's Terms of Service. We do not store your full payment card details on our servers.
- All payments are processed in British Pounds Sterling (GBP).
- VAT shall be applied in accordance with HMRC regulations. VAT invoices are available via the Stripe customer portal.
- Bank account linking and transaction synchronisation are provided via Plaid Inc. under PSD2 Open Banking. By initiating a bank connection you authorise Plaid to retrieve account identifiers, balances, and transactions on your behalf. See our Privacy Policy for full data-flow disclosures.
6. Making Tax Digital (MTD)
Pro and Enterprise plans include access to the HMRC Making Tax Digital integration, subject to the following terms:
- The MTD integration allows you to connect your HMRC Government Gateway account via OAuth and submit quarterly income and expense updates, annual adjustment summaries, and final tax declarations to HMRC.
- One HMRC connection is permitted per account. The connection is shared across all account members with appropriate access roles.
- You must provide your National Insurance Number (NINO) and, where applicable, your Unique Tax Reference (UTR) to enable MTD submissions. These are encrypted using AES-256-GCM and stored securely.
- You are solely responsible for the accuracy of all data submitted to HMRC via the MTD integration. Latch aggregates data from the financial records you have entered; it does not independently verify or audit your records.
- You are solely responsible for meeting all HMRC deadlines for quarterly, annual, and final submissions. Latch displays obligation deadlines but does not guarantee timely notification. Any penalties for late or incorrect submissions are your sole responsibility.
- HMRC MTD functionality is provided as-is and is dependent on the availability and correct functioning of HMRC APIs, which are outside Latch’s control.
- If you downgrade to the Basic (Free) plan, your HMRC connection will be maintained but you will be unable to make new submissions. Your existing submission history will be retained.
- The MTD integration does not constitute tax advice. For all matters relating to your tax position, HMRC obligations, or compliance requirements, you should consult a qualified accountant or tax adviser.
7. Tenant Referencing Costs
- Tenant referencing checks initiated through the platform are provided by Canopy and are charged separately from your subscription fee.
- Referencing fees are passed through at cost and are displayed before the landlord confirms the referencing request.
- Once a referencing request has been submitted to Canopy, the referencing fee is non-refundable, regardless of the outcome of the check or whether the tenancy proceeds.
- Referencing fees are billed separately and may appear as a distinct line item on your payment method.
8. Auto-Renewal, Cancellation, and Cooling-Off
Auto-renewal
- Subscriptions renew automatically at the end of each billing period at the headline price unless cancelled before the renewal date.
- We will email you a reminder 7 days before the first full-price charge after any free trial ends, and at least every 6 months thereafter, in line with the Digital Markets, Competition and Consumers Act 2024.
Initial 14-day cooling-off (statutory)
- You have the right to cancel within 14 days of starting your paid subscription, for any reason, under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
- If you cancel within this window, we will refund any amount paid in full, regardless of whether you have used paid features. We do not require you to waive this right at sign-up.
Second 14-day cooling-off (DMCC Act 2024)
- You also have the right to cancel within 14 days after your free trial ends. If you cancel within this window, the first full-price charge is refunded in full.
- Your access continues until the end of the period for which you have paid. No further charge is taken after cancellation.
How to cancel
- You may cancel at any time by (a) clicking “Cancel subscription” in your account settings, which redirects you to the Stripe customer portal, or (b) emailing [email protected]. Cancellation requires no more steps than signing up.
- Outside the two cooling-off windows, cancellation takes effect at the end of the current billing period. You will retain access to paid features until the end of your prepaid period.
- Upon expiry, your account will be downgraded to the Basic (Free) plan. Your data will be retained but access to Pro / Enterprise / Commercial features will be restricted.
Failed payment / past-due
- If a renewal payment fails, your account is marked PAST_DUE. Stripe will retry payment per its standard dunning schedule; your access is not immediately revoked.
- If payment is not recovered, we will downgrade your account to the Basic (Free) plan in line with the cancellation effects above. You remain liable for any successfully charged amounts up to that point.
9. Refund Policy
- Cooling-off refunds (initial 14 days from contract start, and 14 days from end of trial): processed in full within 14 days of cancellation, via Stripe to the original payment method.
- Refunds outside the two statutory cooling-off windows are at our discretion and will only be issued where required by applicable law or where a charge was made in error.
- If you believe a charge has been made in error, please contact [email protected] within 14 days of the charge. We aim to respond within 5 working days.
- Tenant referencing fees (section 7) are non-refundable once the referencing request has been submitted to Canopy.
- For consumers, none of these provisions affects your statutory rights under the Consumer Rights Act 2015 or the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
10. Price Changes
- We reserve the right to modify our pricing with no less than 30 days' prior written notice sent to the email address registered to your account.
- Where a price change increases your bill, the notice will clearly state your right to cancel before the new price takes effect, and will not require you to take any action to keep your existing price during the notice period.
- Continued use of the Services after the effective date of the new pricing constitutes acceptance.
- If you do not agree with the revised pricing, you may cancel your subscription before the new pricing takes effect with no penalty.
11. Account Termination and Data Deletion
- Termination by you: You may terminate your paid subscription at any time. Your account will be downgraded to the Basic (Free) plan at the end of your current billing period.
- Account deletion: If you request full account deletion, your account will enter a 30-day soft-delete grace period. During this period your data is retained but access is suspended. You may contact [email protected] within this period to request restoration.
- Permanent deletion: After the 30-day grace period, all data associated with your account will be permanently and irreversibly deleted. We strongly recommend exporting your data before initiating deletion.
- Outstanding obligations: Termination does not relieve you of any outstanding payment obligations. Unpaid invoices remain due and payable.
- Survival: Payment obligations, intellectual property provisions, limitation of liability, and indemnification provisions survive termination.
12. Service Level and Uptime
- We target 99.9% uptime for paid subscription plans, measured on a monthly basis, excluding scheduled maintenance windows.
- Scheduled maintenance will be conducted during off-peak hours where practicable, with reasonable advance notice.
- Emergency maintenance or urgent security patches may be applied without prior notice where necessary to protect the integrity, security, or availability of the Services.
- No compensation shall be payable for periods of unavailability unless expressly agreed under a separate service-level agreement.
13. Governing Law
- These Subscriber Terms shall be governed by and construed in accordance with the laws of Scotland, without regard to conflict of law principles.
- The courts of Scotland shall have exclusive jurisdiction over any dispute arising under these Subscriber Terms.
