Free to Use Terms
Terms and conditions for the Latch Basic (Free) plan. Please read these terms alongside our general Terms of Use.

1. Introduction
These Free to Use Terms (“Free Terms”) supplement the general Terms of Use and apply specifically to users on the Basic (Free) plan. By using the Services on the Basic plan, you agree to these additional terms alongside the general Terms of Use. In the event of conflict between these Free Terms and the general Terms of Use, these Free Terms shall prevail in relation to free-plan-specific matters. USELATCH LTD (company number SC879051, registered in Scotland) reserves the right to modify the features and limitations of the Basic plan at any time.
2. What's Included
The Basic (Free) plan includes the following features at no cost:
- Up to 3 active leases
- Up to 20 document uploads
- 7 standard financial reports
- Automatic rent reminder emails
- Single-user account (one user per account)
- Property and unit management
- Tenant and contact management
- Payment and expense recording
- Compliance certificate tracking
- Basic maintenance ticket management
3. Limitations and Restrictions
The following features are NOT available on the Basic (Free) plan:
- AI-powered assistant (Matt) and AI features
- Document AI analysis and data extraction
- Bank feed integration via Plaid (Open Banking under PSD2)
- Multi-user organisation accounts
- Priority support
- Advanced and custom financial reports
- Multi-platform property advertising
- AI compliance document generation
- Calendar synchronisation (Google Calendar, Microsoft Outlook)
- HMRC Making Tax Digital (MTD) integration for Income Tax Self Assessment
- E-signature creation and management
- Builder marketplace access (posting jobs and receiving bids)
- Tenant referencing and background screening (Canopy integration)
- Property management portal (managing properties on behalf of landlord clients)
- WhatsApp messaging for rent reminders and tenant communications
- Invoice generation, PDF export, and automated invoice reminders
- SmartFlow workflow automation
We reserve the right to modify the features available on the Basic plan at any time. Where a modification materially reduces the available features, we will endeavour to provide reasonable notice.
4. Data Retention for Free Accounts
- Active free accounts: your data is retained indefinitely for as long as your account remains active.
- Unverified accounts (email not confirmed): automatically deleted after 30 days.
- Data deletion follows the same process as paid accounts: 30-day soft-delete grace period, followed by permanent and irreversible deletion.
- You may request a data export at any time by contacting [email protected].
5. Service Level
- The Basic (Free) plan is provided on a best-effort basis with no guaranteed uptime or service level agreement (SLA).
- We strive to maintain the same reliability standards across all plans, but paid subscribers will receive priority in the event of capacity constraints.
- Scheduled and emergency maintenance applies to all plans equally.
- No compensation shall be payable for any period of unavailability on the Basic plan.
6. Account Inactivity Policy
- An account is considered “inactive” if no login has been recorded for a continuous period of 365 days.
- We will send a warning email to your registered email address after 365 days of inactivity, informing you that your account is at risk of deletion.
- If no login or response is received within 7 days of the warning email, your account will enter the soft-delete process.
- You may contact [email protected] within the 30-day grace period following soft-deletion to request account restoration.
- This policy is designed to manage inactive accounts responsibly and in accordance with data minimisation principles under the UK GDPR.
7. Upgrade Path
- You may upgrade from the Basic plan to Pro or Enterprise at any time through your account settings.
- All existing data is preserved during an upgrade; no data migration is required.
- Upon upgrade, you will immediately gain access to the additional features of your chosen plan.
- Eligible first-time subscribers may select a 30-day free trial of Pro or Enterprise. Before subscribing you will be shown a Key Pre-Contract Information panel summarising auto-renewal, reminders, and your cancellation rights under the Digital Markets, Competition and Consumers Act 2024. - You may downgrade from a paid plan back to Basic at any time. Your account will revert to Basic plan limits at the end of your current billing period.
- The HMRC Making Tax Digital integration is available exclusively on Pro and Enterprise plans. Upgrading will enable you to connect your HMRC account and submit quarterly, annual, and final declarations directly to HMRC.
- Upgrading to a paid plan also unlocks additional features including e-signatures, builder marketplace, tenant referencing, and property management tools.
8. Limitation of Liability
- To the maximum extent permitted by applicable law, the total aggregate liability of Latch arising out of or in connection with your use of the Basic (Free) plan shall not exceed one hundred pounds sterling (£100).
- For full limitation of liability terms, please refer to the Limitation of Liability section of our Terms of Use.
- Nothing in these Terms shall exclude or limit liability for: (a) death or personal injury caused by negligence; (b) fraud or fraudulent misrepresentation; or (c) any other liability that cannot be lawfully excluded or limited under the laws of Scotland.
9. Governing Law
- These Free Terms shall be governed by and construed in accordance with the laws of Scotland, without regard to conflict of law principles.
- The courts of Scotland shall have exclusive jurisdiction over any dispute arising under these Free Terms.
