How to mark maintenance tickets as complete, record final costs, and archive them.

Closing and Archiving Tickets
Once maintenance work is finished, close the ticket to keep your maintenance queue clean and your records complete.
Completing a Ticket
- Open the maintenance ticket.
- Click Mark as Completed.
- Fill in the completion details:
- Completion Date — When the work was finished.
- Final Cost — The total cost of the repair (parts and labour).
- Completion Notes — A summary of what was done.
- Optionally attach photos of the completed work.
- Click Complete.
Recording Costs
The final cost you enter can optionally create a linked expense record:
- Toggle Create Expense when completing the ticket.
- The expense is automatically categorised as "Repairs & Maintenance".
- The receipt can be attached to the expense.
Closing vs Completing
- Completed — Work is done but the ticket is still visible in your active list for review.
- Closed — The ticket is archived and moves to history. Use this after you have reviewed the completed work.
To close a completed ticket, click Close Ticket.
Reopening
If an issue recurs, you can reopen a closed ticket:
- Find the ticket in your maintenance history.
- Click Reopen.
- The ticket returns to your active queue.
Tip: Always record the final cost when closing tickets — this data feeds into your maintenance cost reports and helps with budgeting.
