Exporting Inventory Reports
Export polished inventory reports as PDFs to share with tenants, agents, and deposit schemes.
Exporting
- Open the inventory report from the property's Inventory tab.
- Click Export.
- Select PDF.
- Choose export options:
- Include Photos — Embed all photos in the report.
- Include AI Analysis — Include the AI condition assessment.
- Include Signatures — Show digital signatures if collected.
- Photo Size — Thumbnail, medium, or full size.
- Click Generate PDF.
PDF Contents
The exported PDF includes:
- Header — Property address, report type (check-in/check-out), date.
- Room-by-Room Detail — Every room with items, conditions, notes, and photos.
- General Condition — Overall property condition notes.
- Meter Readings — Recorded meter readings.
- Signatures — Digital signatures of all parties.
- Summary — Total items, condition breakdown.
Sharing the PDF
After export, you can:
- Email the PDF to the tenant directly from Latch.
- Download and send manually.
- Upload to the deposit scheme as evidence.
- Store in the Documents section linked to the property.
Comparison Reports
You can also export inventory comparison reports (check-in vs check-out) as PDFs. These are particularly useful for deposit disputes.
Tip: Export and share the check-in inventory with the tenant immediately — their acceptance of the initial condition protects you at check-out.
