Comparing Inventory Versions
At the end of a tenancy, compare the check-in and check-out inventories to identify any changes or damage.
Running a Comparison
- Go to the property's Inventory tab.
- Click Compare Reports.
- Select the check-in report and the check-out report.
- Click Generate Comparison.
Comparison View
The comparison displays:
- Side-by-side — Check-in condition next to check-out condition for each item.
- Changes highlighted — Items where the condition has deteriorated are highlighted in red.
- Photos compared — View check-in and check-out photos side by side.
- New damage — Items with new issues are flagged.
Comparison Categories
Items are grouped into:
- No Change — Condition is the same or improved.
- Fair Wear and Tear — Minor deterioration consistent with normal use.
- Damage — Deterioration beyond normal wear and tear.
- Missing Items — Items present at check-in but not at check-out.
Using the Comparison for Deposits
The comparison report is your primary evidence for deposit deductions:
- Review all flagged items.
- Categorise each as fair wear and tear or damage.
- For damage items, record the estimated cost of repair or replacement.
- Export the comparison as a PDF to share with the tenant and deposit scheme.
Tip: Always conduct the check-out inventory before the tenant returns the keys — this ensures you capture the true condition of the property.
