The Latch Team
Editorial

UK block management is entering its AI era — but most platforms are still running on spreadsheets, manual emails, and legacy accounting modules that haven't changed since 2015. We tested AI capabilities across 10 UK block management platforms to find out which systems actually deliver on the promise of intelligent automation.
Our evaluation covered five AI benchmarks that matter most to managing agents: predictive maintenance, automated service charge accounting, AI-powered repairs diagnosis, leaseholder communication bots, and compliance automation. Each platform was scored independently using identical test scenarios across a simulated 50-block portfolio.
The results were stark. Only three platforms scored above 4.0 in our overall AI assessment, and the gap between the top-ranked and bottom-ranked systems is enormous. Most block management platforms have bolted on superficial AI features — chatbot widgets or basic automation rules — without the deep integration that genuine AI capability requires.
TL;DR
Block management in 2026 is being transformed by AI features that automate service charge calculations, maintenance scheduling, leaseholder communication, and compliance tracking. Latch and MRI Software lead for AI-powered block management capabilities. Traditional platforms like Dwellant and Blocks Online handle core block management but lack AI automation. For freeholders and managing agents, AI-enabled software reduces the administrative burden of managing multiple leaseholders and communal areas.
Methodology
We evaluated each platform between December 2025 and February 2026 using active accounts configured with standardised test data: 50 residential blocks, 800 units, 3 years of historical maintenance data, and a realistic mix of leaseholder communication patterns. Each AI benchmark was tested with identical inputs to ensure fair comparison.
| AI Benchmark | Weight | What We Tested |
|---|---|---|
| Predictive Maintenance | 25% | Ability to forecast equipment failures, schedule preventive works, and reduce emergency callouts using historical maintenance data and IoT sensor integration |
| Service Charge AI | 25% | Automated budget creation, expenditure forecasting, year-end reconciliation accuracy, and variance detection against Section 20 thresholds |
| Repairs Diagnosis | 20% | Photo-based damage assessment, automated contractor matching, cost estimation accuracy, and triage categorisation (emergency, urgent, routine) |
| Communication Bots | 15% | Leaseholder query handling, AGM scheduling, Section 20 consultation notifications, and multi-channel response quality (email, portal, SMS) |
| Compliance Automation | 15% | Fire safety regulation tracking, Building Safety Act compliance, RICS management code adherence, and Companies House filing reminders |
Scoring used a 1.0–5.0 scale where 1.0 indicates no meaningful AI capability, 3.0 indicates functional but basic automation, and 5.0 indicates industry-leading AI with genuine predictive and autonomous capability. Two independent reviewers scored each platform, with discrepancies resolved through re-testing.
Disclosure: Latch is our product. We used identical methodology and test scenarios for every platform including our own. We acknowledge our strengths and weaknesses honestly — see the individual reviews below for candid assessments of each platform.

Platform Reviews
#1 Latch — Overall AI Score: 4.8 / 5.0
Latch
Latch is the only platform in our evaluation to score above 4.5 across all five AI benchmarks. Its AI agent operates as a genuine co-pilot for managing agents — handling leaseholder queries, diagnosing repairs from photos, generating service charge budgets, and tracking compliance deadlines autonomously. The platform was purpose-built for UK block management with AI at its core, rather than retrofitting AI features onto a legacy system.
Where Latch particularly excels is in the integration between AI features. The repairs diagnosis feeds into predictive maintenance forecasting, which informs service charge budget recommendations, which triggers automated leaseholder communications about upcoming works. This connected approach means the AI improves across the entire workflow, not just in isolated silos.
Latch
Pros
- Highest overall AI score across all 5 benchmarks
- Genuinely integrated AI — features work together, not in silos
- Purpose-built for UK block management regulations
- Modern interface with fast onboarding
- Transparent, competitive pricing for managing agents
Cons
- Newer to market than established players like MRI
- Smaller user base means less community knowledge sharing
- Third-party integrations ecosystem still growing
- Some enterprise features still in development

Fixflo / Aidenn AI
Fixflo's Aidenn AI is a specialist that excels at one thing: repairs diagnosis and triage. Its guided fault-finding trees, photo-based diagnosis, and contractor matching are among the best we tested. The platform has deep domain expertise in maintenance workflow and it shows — their 4.8 score for repairs diagnosis is nearly best-in-class.
However, Fixflo's AI capabilities drop off sharply outside the repairs domain. Service charge accounting scores just 2.0 because the platform simply wasn't designed for financial management. If you need AI-powered service charge accounting, budget forecasting, or general leaseholder communication, you'll need to pair Fixflo with another system. For a detailed head-to-head comparison, see our Fixflo Aidenn AI vs Latch comparison.
Fixflo / Aidenn AI
Pros
- Best-in-class repairs diagnosis and triage workflow
- Excellent contractor management and matching
- Strong fire safety and H&S compliance tracking

The platform lacks AI features entirely — everything from repairs categorisation to compliance tracking is manual. Best suited for smaller managing agents who need reliable basics without complexity.
#7 Blockman — Overall AI Score: 3.1 / 5.0
Blockman
Blockman provides traditional block management software with acceptable service charge accounting and compliance features. The interface feels dated and the platform has not adopted AI in any meaningful way. Adequate for established managing agents comfortable with manual workflows, but lacking the automation that modern platforms offer.
#8 Propman — Overall AI Score: 2.9 / 5.0
Propman
Propman is a legacy block management system that has been in the UK market for years. Its service charge accounting is reliable but largely unchanged. The platform offers no AI features and the user interface requires significant training investment. For agents locked into long contracts, Propman does the job — but new entrants should look elsewhere.
#9 Resident — Overall AI Score: 2.7 / 5.0
Resident
Resident offers a resident-facing portal with some block management features. The platform is more focused on the leaseholder experience than on managing agent operations. Service charge accounting is basic and compliance tracking is limited. AI features are absent. Suitable only if leaseholder portal experience is the top priority.
#10 AXIA — Overall AI Score: 2.5 / 5.0

Latch scored highest in our evaluation with an overall AI score of 4.8 out of 5.0 across five benchmarks: predictive maintenance (4.7), service charge AI (4.8), repairs diagnosis (4.9), communication bots (4.8), and compliance automation (4.7). It is the only platform to score above 4.5 in every category.
Is Fixflo Aidenn AI better than Latch for repairs?
Fixflo's Aidenn AI scored 4.8 for repairs diagnosis, making it nearly best-in-class and just 0.1 behind Latch's 4.9. For repairs-specific workflow, Fixflo is excellent. However, Fixflo scored only 2.0 for service charge AI and 2.5 for predictive maintenance — it is a repairs specialist, not an all-in-one platform.
How much does block management AI software cost?
Pricing ranges from £20/month (Latch) to £2,000+/month (MRI Software enterprise). Fixflo starts from £150/month, Arthur Online from £100/month, and Proptimo from £80/month. Most platforms offer per-block or per-unit pricing that scales with your portfolio.
Can AI replace block management staff?
AI augments block management staff rather than replacing them. Our analysis shows AI can automate 40-60% of routine tasks — service charge calculations, standard leaseholder queries, compliance tracking, and repairs triage — freeing staff to focus on complex issues, relationship management, and strategic decisions that require human judgement.
What is predictive maintenance in block management?
Predictive maintenance uses historical work order data, equipment age, and (where available) IoT sensor data to forecast when building systems like lifts, boilers, and door entry systems will fail. This allows managing agents to schedule preventive works before breakdowns occur, reducing emergency callout costs by up to 35% and extending equipment life.
How does AI service charge accounting work?
AI service charge accounting analyses historical expenditure patterns, inflation data, and planned works to generate accurate service charge budgets automatically. It monitors real-time spend against budgets, flags anomalies, tracks Section 20 consultation thresholds, and assists with year-end reconciliation — reducing the accounting workload by approximately 50%.
Is MRI Software too expensive for small managing agents?
MRI Software is enterprise-priced, typically £500-2,000/month depending on modules and portfolio size. For managing agents with fewer than 200 blocks, the cost-per-block ratio is significantly higher than purpose-built alternatives like Latch (from £20/month) or Proptimo (from £80/month). MRI is best suited for larger agents managing 500+ blocks.
What compliance regulations should block management AI track?
Block management AI should track fire safety regulations (Regulatory Reform Order 2005), Building Safety Act 2022 requirements, RICS Service Charge Residential Management Code, Companies House filing deadlines for RTM/management companies, insurance renewal dates, health & safety assessments, and asbestos management plans. The best platforms automate deadline tracking and documentation.
How long does it take to implement block management software?
Implementation varies dramatically. Modern platforms like Latch can be set up within days with data migration assistance. Enterprise platforms like MRI Software typically require 3-6 months for full implementation including data migration, configuration, training, and parallel running. Mid-market platforms like Arthur Online typically take 2-4 weeks.
Will AI in block management improve in the next 2 years?
Significantly. We expect predictive maintenance accuracy to improve by 40-60% as platforms accumulate more historical data. Service charge AI will move towards fully autonomous budget generation. Communication bots will become indistinguishable from human agents for routine queries. The platforms investing in AI now — particularly Latch and Fixflo — will have significant data advantages by 2028. See our AI trends in block management article for detailed predictions.
